1. When may a student begin working?

A student may begin working when all paperwork is completed and returned to the Office of Financial Aid. A student will need to have a W-4 and I-9 on file and will need to have a Referral Form completed for the position. All positions must have a Job Order Form completed and approved prior to being posted on the SEP Board.

 


2. What is the maximum number of hours a student may work?

A student may work up to 20 hours per week while classes are in session and 28 hours a week during breaks. No student may work more than six (6) hours straight without taking a 1/2 hour unpaid meal break. All breaks must be reflected on the timesheet.

 


3. How does a returning student obtain a Referral Form?

The student should come to the Office of Financial Aid to get a Referral Form. If the studnet is not CWS-eligible, he or she will need to wait until the third week of class to obtain a Referral (special situations do apply for high-skilled jobs). The student is not permitted to begin working until the Referral is completed and returned to this office. Jobs will not be held for students. If a position is available after the two week wait period then College-Funded (Regular Payroll) students may obtain a Referral providing the student meets all requirements.

 


4. Do I send students to the Office of Financial Aid to obtain their paperwork?

If you would like to hire a student for a position, you will need to have the student complete the necessary employment paperwork at the Office of Financial Aid. Once the paperwork is completed and returned to our office, then the student is considered officially hired. Any student that may be returning to a position will also n eed to obtain a Referral Form for a new award period.

 


5. May I have a secondary supervisor sign the timesheets in my absence?

Yes. When you fill our the Job Order Form for the academic year, please state the name and title fo the person you would ike to sign timesheets in your absence. Student employees or administrators that do not supervise your students are not applicable. If you plan to be absent when timesheets are due, please notify the students that they may have the secondary supervisor sign the timesheets.

 


6. What happens if a student earns more than his or her CWS allottment?

If the student is eligible to receive an increase in his or her CWS, our office will notify the student with an updated Financial Aid Award Letter. If the student is not able to receive an increase, our office will notify the student and supervisor. If your budget is able to support it, the student may be switched to College-Funded (Regular Payroll).
